What is the role about? 

The Sales Order Specialist is responsible for managing and processing customer orders with accuracy and efficiency, ensuring compliance with company policies. This role requires close collaboration with internal teams to resolve order issues, improve processes, and enhance the customer experience. The ideal candidate will possess strong project management skills, a solid understanding of supply chain operations, and a proactive approach to problem-solving in a fast-paced environment. 

Which tasks will you perform? 

  • Verify that customer purchase orders align with company terms and conditions, pricing, and agreements.  
  • Ensure the terms of the purchase order comply with existing contracts, including payment terms, delivery schedules, and product specifications  
  • Identify and resolve any discrepancies between the purchase order, quote, and contract through communication with internal sales teams and external customers  
  • Assess commercial risks related to contract terms, such as unusually long payment terms or unfavorable penalties for non-performance  
  • Maintain detailed records of contract reviews, approvals, and any discrepancies found. This includes updating contract databases, creating customer complaint cases, performing order adjustments as needed, and communicating with internal teams to ensure documentation accuracy  
  • Challenge legacy policies and procedures that complicate order fulfillment processing and formulate creative solutions by identifying root causes and develop long term resolutions by developing and/or playing a significant role in new process development and process improvement projects.   
  • Share best practices and provide cross training to peers, team members and outside business units to enhance the quality and efficiency of the Sales Operations Process and contribute to the knowledge base.   
  • Collaborate with the supply chain and logistics teams to ensure timely and efficient order fulfillment, while proactively identifying and mitigating potential bottlenecks.  
  • Lead and contribute to continuous improvement projects, driving enhancements in the order-to-fulfillment cycle by applying project management methodologies to streamline workflows and reduce inefficiencies.  

What do we expect from you? 

You will have (required): 

  • Associate or bachelor’s degree, OR 5+ years of relevant experience, including reviewing commercial contract terms or understanding of supply chain processes 

You may have (preferred):  

  • SAP, Salesforce or experience in project management or process improvement methodologies (e.g., Lean, Six Sigma, PMP certification) 
  • Prioritizes the customer perspective in business decisions by actively seeking to understand customer needs and problems, initiating solutions based on this understanding, and implementing feedback to enhance the overall experience and prevent future issues.
