We are looking for an Office Manager to join us and help ensure that our offices across Sweden are safe, well-organized, welcoming, and professionally managed. In this broad and varied role, you will take ownership of our daily office operations while also providing administrative and coordination support to our sales organization.

Then this could be the right role for you. As our Office Manager, you will be the primary contact for office-related matters and coordinate the services, suppliers, purchases, and safety functions needed to keep our workplaces running effectively.
You will be based at our office in Solna and have an overall coordinating responsibility for our different offices in Sweden. A key responsibility during the coming years will be coordinating and supporting our planned office relocation project, ensuring a smooth transition from planning through implementation. The role also includes administrative support to our sales organization, representing up to approximately 30 percent of the position.
Which tasks will you perform?
You will:
- Take overall responsibility for the functionality, organization, and appearance of our offices
- Coordinate suppliers and service providers within areas such as cleaning, waste management, coffee services, maintenance, and other workplace services
- Manage and follow up office-related agreements, costs, orders, and supplier contacts
- Coordinate maintenance, repairs, fault reports, and workplace improvement activities
- Manage office-related purchases, inventories, consumables, furniture, and workplace equipment
- Act as the primary contact for landlords and external facility service providers
- Coordinate access control systems, keys, locks, and alarm systems
- Coordinate and maintain the company’s systematic fire protection activities
- Ensure that evacuation plans, emergency procedures, first aid equipment, defibrillators, fire extinguishers, and other safety equipment are maintained and kept up to date
- Support office-related inspections, audits, and follow-up activities
- Coordinate office moves, workplace adaptations, and other office improvement initiatives when required
- Support the planning and coordination of meetings, visitors, customer activities, and internal events
- Provide administrative and coordination support to the sales organization, including documentation, data administration, internal follow-up, and communication between departments
- Coordinate and support the company's upcoming office relocation project, including planning, supplier coordination, workplace adaptation activities, communication, and practical implementation
What do we expect from you?
You:
- Have experience in office administration, workplace services, facility coordination, reception, sales administration, or a similar role
- Work in a structured and organized way with strong attention to detail
- Have a proactive and solution-oriented approach and are comfortable taking ownership of your responsibilities
- Provide a high level of service and enjoy supporting colleagues across the organization
- Communicate clearly and build trust with colleagues, suppliers, and other external contacts
- Are comfortable coordinating several tasks and stakeholders simultaneously
- Have experience in supplier coordination, purchasing, administration, or contract follow-up
- Have experience coordinating office relocations, workplace transformation projects, or larger office improvement initiatives (considered an advantage)
- Are comfortable working independently while collaborating closely with different departments
- Communicate fluently in both Swedish and English, verbally and in writing
- Have good knowledge of Microsoft 365
Experience in systematic fire protection, workplace safety, security systems, facility management, office relocation projects and workplace transformations is considered an advantage.

This is a full-time fixed-term employment for one year, corresponding to 40 hours per week. The position is based at our office in Solna, with occasional travel to our other offices in Sweden when required.
